GENERAL INFORMATION

The following information will help you in planning your attendance and involvement in this year’s conference. If you require any further details, please call the MusicNL office, 709-754-2574.

HOST HOTEL – Delta St. John’s, NL.
The Delta is offering delegates a special conference rate of $123 + tax per room. It is your responsibility to book in advance, stating that you will be attending the MusicNL conference. The number is 1-888-793-3582

REGISTRATION – Begins at 3:00pm on Friday, November 13th, 2009 at The Delta.
Conference fees:

  • $80.00 MusicNL members
  • $120.00 Non-members
  • $25.00 Showcasing Artist/Group members
  • $40.00 Students

Delegates receive a conference program, delegate bag, access to all seminars and showcases, tickets to Saturday’s Industry brunch and Sunday’s Awards Show.

CBC/MusicNL SONGWRITER’S CIRCLE – Tickets for the songwriters circle are of no extra charge to delegates. For general public tickets call the MusicNL office for details.

AWARDS SHOW – The St. John’s Arts and Culture Centre, Sunday November 15th, 2009 at 8:00pm. Awards show tickets are available for $30 at the ACC box office (709-729-3900). MusicNL Award Nominees may attend the show at no charge, however, there will be no complimentary tickets issued for guests of nominees.

SHOWCASES – MusicNL Main Showcase will take place at Mickey Quinn’s, Delta, Friday and Saturday evening, November 13th & 14th, 2009.

SHOWCASE APPLICATIONSDeadline for applications is September 25th, 2009.
The enclosed application must be accompanied by a stage plot and complete press kit including a bio, photo and a CD/Demo CD. Artists/groups who showcased in 2008 are not eligible to apply.

SEMINARS/WORKSHOPS – The Delta St. John’s, November 14th-15th, 2009. Attendees must be registered delegates.

TRAVEL SUBSIDIES – MusicNL members traveling from outside of the St. John’s area will be eligible to apply for a subsidy to help offset travel and accommodation costs. To qualify, return the enclosed Attendance Form to the MusicNL office by October 23, 2009.

AWARD NOMINATIONSDeadline for award nominations is September 18, 2009.
Members are permitted to nominate themselves for any eligible category. Eligibility criteria and the nominating rules and regulations are enclosed along with the nomination forms.

BOARD NOMINATIONSDeadline for board nominations is October 02, 2009.
A nomination form and a description of board responsibilities are enclosed.

MUSICNL MEMBERSHIP – All MusicNL membership dues must be paid in order to showcase, nominate, vote and receive the conference delegate fee of $80.00.

AWARDS NOMINATION CRITERIA 2008/2009

Eligible artists/groups

  • Native of Newfoundland and Labrador or a resident of Newfoundland & Labrador during the eligibility period (June 1, 2008 to August 31, 2009)
  • Member(s) - IN GOOD STANDING - of MusicNL
  • Released a full-length recording* between JUNE 1, 2008 and AUGUST 31, 2009

Full length recording

  • Must contain a minimum of six (6) tracks or a minimum length of thirty (30) minutes
  • Half (50%) of the tracks must be original (previously unreleased) material
  • Must fulfill all legal obligations (i.e. payment of mechanical rights, songwriting credits, etc.)

Release Date

  • Proof of the date of release must be provided by artist/group through manufacturer’s invoice, retail verification, distributor or record company

Exceptions

  • Entertainer of the Year - Open to all eligible artists/groups regardless of having a release or not.
  • SOCAN Songwriter-of-the-Year - Must have a song on a recording released during the eligibility period AND must have received radio airplay.
  • Compilation Albums - May compete in the Album of the Year category, provided they meet full-length recording criteria.
  • Media Person / Volunteer / Music Educator / Company / Industry Professional of the Year - MusicNL membership is not a requirement.
  • Hall of Fame Inductee - Selected by a special committee of MusicNL rather than through the nomination process, and not necessarily awarded annually. MusicNL membership is not a requirement.
  • Side Musician Award – Open to individual MusicNL members.

NOMINATION PROCESS

In 2009 MusicNL will offer awards in 19 categories (see attached list).

Nomination

  • Nominate only one artist/group in each category.
  • An artist/group may be nominated in ANY number of GENERAL categories.
  • An artist/group may be nominated in only ONE (1) GENRE SPECIFIC category.
  • You may omit any category if you choose not to nominate anyone.
  • MusicNL members may nominate themselves in any appropriate category.
  • No artist or group receiving less than 2 nominations will be placed on the ballot.
  • Nomination forms (provided here) must be received by the MusicNL office no later than 4:30pm September 18, 2009.
  • MusicNL has formed an ethics committee to oversee the nomination process. Any perceived irregularity will be challenged by the committee and could result in a removal from the ballot. Withdrawal of the ballot is at the soul discretion of the board of directors.

Tally

  • An artist/group needs only two nominations to be considered in a category.
  • An artist/group is selected for the final ballot based on the number of nominations they receive in each category.
  • If only one artist/group is nominated in a particular category, that category will be removed from the ballot, and that artist/group will be eligible in the same category the following year. They can he carried over only once.

Ballot

  • The ballot is issued in October. Deadline for voting will be noted on the ballot form.
  • Voting members will return their ballot to an independent accounting firm in a provided pre-stamped envelope.
  • The votes are counted by the accounting firm and the results provided to the MusicNL executive.
  • MusicNL has formed an ethics committee to oversee the nomination process. Any perceived irregularity will be challenged by the committee and could result in a removal from the ballot. Withdrawal of the ballot is at the soul discretion of the board of directors.

Winners

  • The nominee receiving the most votes in a category shall be the winner. Tied nominees shall share the award.
  • Awards in the general and genre specific categories will be presented on stage at the Annual Awards Show.
  • Industry awards will be presented at the Industry Brunch.

MUSICNL AWARDS

General Categories

  • Male Artist of the Year - Only solo artists qualify.
  • Female Artist of the Year -Only solo artists qualify.
  • Group of the Year – Only groups qualify.
  • Rising Star of the Year Award - To qualify, this must be your first recording as an artist/group (if you recorded previously with another group) and you are now with a new group, with a new recording you could qualify.
  • Album of the Year - Artist/group must meet eligibility criteria.
  • Entertainer of the Year - Any artist/group can be nominated in this category with or without a new release
  • SOCAN Songwriter of the Year - In the case of collaborations, at least one of the writers must fit the eligibility criteria. Only the eligible artist(s) will be honoured.
  • Side Musician of the Year - Open to all individual MusicNL members.

Genre Specific Categories

  • Country Artist/Group of the Year
  • Molson Pop/Rock Artist/Group of the Year
  • Alternative Artist/Group of the Year
  • Instrumental Artist/Group of the Year (75% of the tracks must be without lyrics)
  • Coast 101.1 FM Jazz/Blues Artist/Group of the Year
  • Gospel Artist/Group of the Year
  • Folk/Roots Artist/Group of the Year

Industry Award Categories

(Industry award nominees need not be MusicNL members)

  • Media Person of the Year
  • Outstanding Company of the Year
  • Industry Professional of the Year
  • Volunteer of the Year
  • Music Educator of the Year

(Note: a single award is handed out in each category.)

MUSICNL AWARDS VOTING PROCEDURES 2008/2009

Each Fall MusicNL hosts the annual MusicNL Awards. In August, MusicNL sends a conference package to each member explaining the nomination and voting process. Detailed below is a step-by-step analysis of the procedure.

  1. A nomination form is sent to the members asking for nominations from the members in each award category.
  2. The nomination form is returned to the MusicNL office by mail or fax before the deadline indicated on the nomination form.
  3. The nominations are tabulated for the ballot. Being nominated does not ensure you being on the ballot. Some categories have multiple nominations and only the top nominees will be included.
  4. The top nominees will be contacted by MusicNL and be requested to accept or decline the nomination.
  5. Each member is responsible for mailing their ballot to DMK Chartered Accountants in the stamped addressed envelope provided.
  6. Deadlines are strictly enforced. Any ballots received after the deadline will be destroyed.

Important things to remember:

  • Student members are non-voting members
  • Individual members get one vote
  • Choral Groups/Non Profit Associations get one vote
  • Bands get four votes (band-submitted nominations will be multiplied by a factor of four unless otherwise indicated)
  • Business members get two votes (business-submitted nominations will be multiplied by a factor of two unless otherwise indicated)
  • Only one award is presented in any one category
  • Additional award trophies can be purchased from the supplier at the member’s expense.
  • A list of eligible releases will be provided to the membership as a guide
  • It is the responsibility of the member to inform MusicNL of their release so that they may be included on the list
  • There is no fee to nominate or to be included on the ballot
  • Only MusicNL members in good standing may nominate or vote
